Job description
The IO Foundation, a tech NGO, is looking for a highly organized and proactive Admin Officer to join our team. In this key support role, you will manage administrative tasks, provide direct support to the CEO and assist the Business Developer and Finance Manager in their tasks. Your ability to multitask, streamline operations and maintain attention to detail will be essential to the smooth functioning of our organization as you will handle various logistical and organizational responsibilities.
Responsibilities
Handle daily administrative tasks, including scheduling, correspondence and filing
Provide direct support to the CEO
Assist the Business Developer and the Finance Manager, ensuring their operational needs are met
Manage logistics such as travel arrangements, event planning and resource coordination
Assist in the preparation of reports, presentations and documents as needed
Coordinate internal communications and maintain efficient record-keeping systems
Oversee the organization’s general office operations and liaise with vendors and service providers
Maintain and manage The IO Foundation’s social media accounts, ensuring consistent and engaging content aligned with our mission
Track office expenses and support financial reporting processes in collaboration with the Finance Manager
Support project teams in organizing meetings, workshops and conferences
Qualifications | Requirements
Degree in Business Administration, Office Management or a related field – OR – Equivalent work experience.
Preferably, at least 3 years of experience in an administrative or executive assistant role
Proactive and highly organized with excellent multitasking and time management skills
Strong written and verbal communication skills
Proficiency in office software (e.g., Microsoft Office Suite, Google Workspace)
Experience with social media management tools and platforms
Familiarity with logistical arrangements such as travel bookings and event planning
Understanding of the non-profit/NGO sector is an advantage
Knowledge and understanding of the tech industry would be an advantage
Passion for and commitment to The IO Foundation's mission and values
Qualifications | Languages
English fluent both oral and written
Other languages will be a plus, in particular Bahasa Malaysia, Mandarin, French and Spanish

Able to work independently and take initiative in a fast-paced environment
Willingness to travel locally and internationally, if needed.

Contractual terms
TIOF Member type: Employed under Malaysian Sdn. Bhd. (Legal requirements need to be met by the candidate at time of application.)
Time commitment: Full time
Base salary: USD 800 / month

Contract length: 12 months, renewable (2 months probation | 2 months notice)
Working location: Own desk @ TIOF's office (Co-labs The Starling+, Selangor, Malaysia)
